Connect SharePoint with Statisfy
The SharePoint integration lets you index files and folders from SharePoint and OneDrive into Statisfy Knowledge Base datasets. Once connected, you can attach a SharePoint source to any KB dataset — either as a set of URLs that apply to the whole dataset, or as an account-level custom field whose value carries each account’s own SharePoint or OneDrive URL. Prerequisites:- Admin access to Statisfy (the integration is org-scoped — one connection serves the whole tenant)
- A Microsoft account that has access to the SharePoint or OneDrive files and folders you want to index
What Gets Indexed
Excel and PowerPoint files aren’t indexed yet. If you have a spreadsheet or presentation you want indexed, save it as a PDF in SharePoint and add the PDF instead. Files larger than 10 MB are skipped.
Steps to Connect
- Log in to Statisfy.
- Open the Integrations page, select the Admin Apps tab, and click the SharePoint card.
- In the Connect SharePoint dialog, click Connect your account. A Microsoft sign-in window opens.
- Sign in with the account that has access to the content you want to index, and approve the requested permissions (read access to SharePoint sites and files, plus your sign-in and email address).
- When the window closes, you’ll see “Successfully connected SharePoint!” and the card shows as connected.
The connected account’s SharePoint and OneDrive permissions determine what Statisfy can read. If a file or folder isn’t shared with that account, Statisfy can’t index it. Connect with an account that already has access to the content you plan to index, or share each file or folder with the connected account.
Add a SharePoint Source to a KB Dataset
After SharePoint is connected, you can attach SharePoint content to any Knowledge Base dataset. The source is added from the Configure Dataset dialog, which is only available after the dataset exists.- Open Knowledge Base and create the dataset if it doesn’t exist yet.
- Open the dataset, then click the settings (gear) icon in the top-right of the dataset page to open the Configure Dataset dialog.
- Under Connected Source, click Connect Source and choose SharePoint.
-
Choose how the URLs should be applied:
- URL(s) — paste one or more SharePoint or OneDrive folder or file URLs that apply to the whole dataset. Click Add URL to add another.
- Per-Account — pick an account-level custom field; Statisfy reads each account’s SharePoint or OneDrive URL from that field and indexes it scoped to that account.
- Click Add Source, then click Save Changes. Statisfy starts syncing right away.
Nested folders are included. When you provide a folder URL, Statisfy indexes the supported files in that folder and in all of its subfolders, up to five levels deep (the folder you provide counts as level one). Folders nested deeper than five levels are skipped. If you need content from a deeper folder, paste that folder’s URL as an additional source.
Supported URL Formats
Both folder and file URLs work. Paste them as you’d copy them from your browser or from SharePoint’s or OneDrive’s share options:
Only SharePoint links (ending in
sharepoint.com) and OneDrive share links (1drv.ms) are accepted. Other links show “Please enter valid SharePoint URLs”. If you need help getting a link, see Microsoft’s guide on sharing files in OneDrive and SharePoint.
Global vs Per-Account Mode
URL(s) (global) — One or more URLs apply to the whole dataset. Use this for content that’s relevant across all accounts: product documentation, playbooks, internal guides. Per-Account (custom field) — Statisfy goes through every account that has a value in the chosen custom field, treats each value as a SharePoint or OneDrive URL, and indexes that content scoped to the account. Use this when each account has its own folder of materials — onboarding decks, business reviews, contract folders. A single SharePoint source uses either URLs or a custom field — not both. Choose the mode that matches how your content is organized.Folder Paths in the Documents List
In the dataset’s documents list, each synced document’s folder path is shown as a prefix in front of the file name — for example,Playbooks/Enterprise/onboarding.pdf, where Playbooks/Enterprise/ is the folder path. The path starts at the folder you provided as the source and includes each subfolder down to the file’s immediate parent, so you can tell apart files with the same name that live in different folders.
Keeping Content Up to Date
- SharePoint sources refresh automatically once a day, picking up files that changed since the last sync.
- To sync right away, click the refresh icon on the SharePoint source card in the Configure Dataset dialog.
- Saving the dataset with changed URLs or a different custom field also starts a sync.
Disconnect SharePoint
Open the SharePoint card on the Admin Apps tab and click Disconnect. SharePoint sources stop syncing until you connect again; documents already synced stay in their datasets.Troubleshooting
Sync runs but a specific file isn't indexed
Sync runs but a specific file isn't indexed
- Check the file type. Only the file types listed under What Gets Indexed are indexed.
- Check the file size. Files larger than 10 MB are skipped — split the file or save a smaller version.
- Check sharing. The connected Microsoft account must be able to open the file.
- Check the folder depth. Files more than five folder levels below the URL you provided aren’t synced.
Per-account content is missing for some accounts
Per-account content is missing for some accounts
- Only accounts with a value in the chosen custom field are synced. Check that the account’s field holds a full SharePoint or OneDrive URL.
- Check that the connected Microsoft account can open that account’s URL.
