# Post-Meeting Action Items

> How Statisfy turns your meetings into action items — where they come from, who they're assigned to, and how they flow into your follow-up email.

# Post-Meeting Action Items

After a recorded meeting is processed, Statisfy reads the transcript, pulls out the concrete follow-ups your team agreed to, and adds them as **action items** on the account. It assigns each one to the right owner and uses the same list to draft the **Next Steps** in your follow-up email. This page explains how that works and what to expect.

## Where action items come from

* **Meetings and recorded calls** are what create new action items. When a meeting is processed (or [reprocessed](/meetings/transcript_language_and_reprocessing)), Statisfy extracts the follow-ups discussed and adds them to the account.
* **Later activity updates, it doesn't create.** A follow-up email or another call never spins up brand-new tasks — it can only *update* an item that already exists (see [Keeping tasks up to date](#keeping-tasks-up-to-date)). Your list stays anchored to what was actually committed in meetings rather than growing from every reply.

  Manually created tasks are unaffected. You can always add and assign action items yourself from the Tasks or account view — see [Adding tasks manually](/tasks/adding_tasks_manually_tutorial).

## Who action items are assigned to

Statisfy assigns each action item to the person on **your team** who owns it:

* **Your team only.** Action items represent your team's follow-ups, so they're assigned to internal team members — never to customer or external participants on the call.
* **People who actually took part.** Assignments go to attendees who participated in the meeting. Someone who was invited but didn't join won't be given action items.
* **The real owner, not a round-robin.** Each item goes to the person who committed to it. Statisfy won't spread items evenly across attendees just to balance the list.

If no one clearly owns an item, Statisfy leaves it **unassigned** rather than guessing, so your team can pick it up. You can reassign or edit any action item at any time — see [Editing tasks and comments](/tasks/editing_tasks_and_comments).

## Keeping tasks up to date

Action items don't go stale after the meeting. As new activity comes in — a follow-up email, a later call, a status change — Statisfy's AI keeps the related action item current on its own: it can **move the task's status forward** and **add a comment** summarizing what changed, so the task's history reflects real progress without anyone updating it by hand. (New action items are still only created from meetings; this upkeep only ever updates items that already exist.)

  Email notifications for these AI updates are **off by default**. A workspace admin can turn them on from **Admin > Settings > Notification** ("Enable email notifications for Statisfy AI task updates"). When enabled, a task's **followers** are notified — the owner, the creator, and anyone @-mentioned follow a task automatically — and individual users can still turn task notifications off in their own **notification settings** or **unfollow** a specific task. ## Next Steps in your follow-up email

The **Next Steps** section of your AI-drafted follow-up email is built from these same action items. So the follow-up you send stays consistent with the action items on the account — the same commitments, the same owners — phrased naturally for your customer. Statisfy won't invent next steps that weren't discussed or hand them to the wrong person.

If a meeting produced no action items, the follow-up simply omits the Next Steps section instead of inventing one.

## Frequently asked questions

<Accordion title="Statisfy added a comment or changed a task's status on its own — what happened?">
  That's the AI keeping your tasks current. As new activity comes in on an account, it updates the related action item's status and leaves a comment explaining what changed, so the task reflects real progress without manual bookkeeping. It only ever updates items that already exist — new action items still come only from meetings.

<Accordion title="How do I stop getting notified about these updates?">
  Emails for AI task updates are sent only when your workspace admin has turned them on (**Admin > Settings > Notification** — "Enable email notifications for Statisfy AI task updates"); they're off by default. If they're on and you'd rather not receive them, turn task notifications off in your personal **notification settings**, or open the specific task and **unfollow** it. Notifications go to a task's followers — you (and anyone @-mentioned) are added automatically. See [Task Followers](/tasks/task_followers).

  This is by design. Action items represent your team's follow-ups, so they're only assigned to internal team members — never to external participants.

<Accordion title="Do customers or external contacts ever receive task emails?">
  No. Task update and comment emails only go to your internal team. External participants are never emailed about action items, even when they appear on the related meeting or task.

  Assignments go to people who actually participated in the meeting, so a no-show won't be given action items automatically. If they still own a follow-up, reassign the item to them manually.
